This Privacy Policy describes how KeyMeet ("the app", "we", "us") collects, uses, and protects the personal information of users of the service at https://keymeet.ai (the "service"), operated by KeyTech, based in Cuenca, Ecuador.

1. Information we collect

Account: when you sign in with Google we obtain your email address, name, public profile picture, and a unique Google identifier (sub). We do not access your contacts, calendar, or any other Google service.

Meetings: when you start a recording we capture audio in real time, send it to a transcription provider to convert it to text, and send that text to an AI provider to produce a summary, key talking points, and action items. We store the transcript and the analyses; we do not retain raw audio: it exists only transiently during processing and is never saved.

Usage metadata: date and time of each session, duration, session identifier, and amount of AI tokens consumed — for billing and diagnostics.

Cookies and local storage:

  • HttpOnly cookie refresh_token — keeps your session signed in securely.
  • OAuth session cookie — during Google sign-in.
  • localStorage for your acceptance of the recording disclosure and client preferences.

2. Subprocessors

To operate the service, we share data with the following third parties:

  • Google LLC (Mountain View, California, USA) — OAuth 2.0 authentication. Privacy policy.
  • Deepgram, Inc. (San Francisco, California, USA) — real-time speech-to-text. KeyTech sets mip_opt_out=true on every request to exclude data from the model improvement program. Per Deepgram's public documentation, opted-out request data is retained only for the duration necessary to process the request. Privacy policy.
  • Anthropic PBC (San Francisco, California, USA) — transcript analysis via Claude. Anthropic does not train its models on data sent through the API and deletes API inputs and outputs within 30 days at most. Privacy policy.
  • Hetzner Online GmbH (Gunzenhausen, Germany) — server infrastructure and database hosting. Privacy policy.

We last verified the public retention and training policies of these providers on 2026-05-02. Each provider's practices may change; we recommend consulting their policies directly for an up-to-date confirmation before uploading sensitive information.

Each has its own privacy policy and operates under its own contractual terms with KeyTech.

3. How we use information

  • To deliver the service (transcribe, analyze, and show you your meetings).
  • To authenticate you and protect your account.
  • To bill you when paid plans become active.
  • To diagnose errors and improve the service.
  • To comply with legal obligations.

We do not sell or share your data with advertisers. We do not use the content of your meetings to train AI models.

4. Your rights

Under Ecuador's Personal Data Protection Act (LOPDP), the GDPR (where applicable), and other relevant laws, you have the right to:

  • Access the data we hold about you.
  • Rectify incorrect data.
  • Delete your account and all associated data.
  • Portability: export your meetings in Markdown format.
  • Object to processing if you have a legitimate reason.

To exercise any of these rights, write to privacidad@keymeet.ai. We respond within 15 business days.

5. Data retention

We keep your data while your account is active. If you delete your account, we delete your meetings, transcripts, analyses, and any associated data within 30 days, unless the law requires longer retention (e.g., financial records).

6. Security

We apply reasonable technical measures to protect your data: TLS 1.2+ for all traffic, authentication with short-lived tokens (15 min) and rotation with reuse-detection, HttpOnly + Secure + SameSite cookies, no stored passwords (we delegate to Google), per-tenant database isolation. No measure is perfect; we will notify you without undue delay if a breach occurs that could affect you.

7. Minors

The service is not intended for individuals under 18. If you believe a minor has provided us with data, write to us and we will delete it.

8. Changes to this policy

If we modify this policy materially, we will notify you by email or via a prominent notice at sign-in before the change takes effect. The most recent version will always be available at keymeet.ai/legal/privacy.
